Sites and how they work

Sites are used in Crittah to support business who operate in multiple regions. It separates both security and visibility to information for that site. This allows you business to have sales, operations and drivers work independently in that site without effecting information and planning in another site. Think of it as two Crittah installations but with the benefit that national operations and managers can view everything in one place while your regional office work in their own space.

If your business has only one location regionally then it is not recommended to use this feature. Adding multiple sites can add unwanted complexity to your business processes. You can read below to understand more about the restrictions and limitations.

Crittah sites separate visibility and security of the following items:

  • Customers

  • Contacts

  • Shifts

  • Jobs

  • Invoices

Driver can belong to multiple sites to allow for a driver who may work in both regions over time doing work for each region. You can add a driver and a vehicle to one or more sites which then allows different regions to assign work to these assets:

  • Drivers

  • Vehicles

By default Crittah only has one site and it is transparent to everyone that the site feature even exists. This allows for easy use if you only need to operate your business out of one location. Once you turn on multiple sites in Crittah by adding a new site and assigning user permissions in your system to allow users to access one or more sites.

Limitation and restrictions to think about

Once you work in a multi site setup you need to be aware of some limitations. These limitations are in place to ensure security of information between sites.

  1. Once a customer or contact is created you need to assign them to a site. Your default site will be used unless you select a different site when creating them. This customer and contact now can only be used in this site and jobs created for this customer or contact will only be for this site.

  2. Shifts are created a for a site and only jobs for the same site can be assigned.

  3. Vehicles can only be assigned to shifts where the site matches. If the vehicle belongs to multiple sites it can be assigned to any shift in those sites.

  4. Drivers can only be assigned to shifts where the site matches. If the driver belongs to multiple sites they can be assigned to any shift in those sites.

  5. If a users has not been given access to a site they will not be able to see any customers, contacts, shifts, jobs or invoices related to that site.

 

How do I grant access to sites for my staff?

If you navigate to Administration and user management you will be able to select what sites a user has access to. Users can have access to one or more sites. You can also assign their default site. The default site is used to assign the site when creating customers, contacts, jobs etc. to minimise data entry.

Users can change their default site through their profile settings. This can be accessed by selecting the drop down under their name in the top left corner of Crittah.
